Generators on Demand is seeking a highly organized, people-first professional to serve as the operational and administrative backbone of our team. This role combines HR administration, performance management support, and high-level executive coordination. The ideal candidate is proactive, trustworthy, and thrives in a fast-moving environment where discretion and follow-through are essential.
Key Responsibilities:
People Operations & HR Administration:
- Serve as the primary point of contact for all employees on HR matters — benefits, policy, PTO, documentation, and general people needs.
- Manage onboarding, offboarding, and employee record-keeping within ADP TotalSource.
- Coordinate and conduct 30/60/90-day check-ins and structured monthly 1:1s with all team members.
- Manage job postings, candidate scheduling, background checks, and offer letter drafting.
- Enter weekly payroll hours and PTO into ADP TotalSource.
- Enforce process adherence across teams and escalate non-compliance as appropriate.
Performance Management:
- Maintain the full performance review calendar — 30/60/90s, monthly 1:1s, and annual reviews.
- Track employee development milestones and proactively flag concerns to leadership.
- Prepare performance summary documentation ahead of leadership review meetings.
- Support documentation and tracking of any active PIPs or performance coaching plans.
Executive Coordination:
- Manage and maintain calendars for company owners — scheduling, appointments, and travel logistics.
- Organize and manage email inboxes; maintain communication flow on behalf of company leadership.
- Track leadership follow-ups and ensure accountability and completion across teams and projects.
- Coordinate logistics for internal meetings, leadership events, and travel.
Administrative Operations & Culture:
- Manage logistics for company events — orders, registrations, travel coordination, and on-site needs.
- Support CRM administrative organization, data entry, and cleanup as directed.
- Facilitate communication across departments on people-related matters and organizational updates.
- Assist with internal newsletters, announcements, and team communications.
Qualifications:
- Experience in HR administration, people operations, or executive support required.
- Demonstrated ability to conduct employee-facing conversations, 1:1s, or performance check-ins.
- Exceptional organizational and time management skills — able to manage multiple priorities simultaneously.
- Strong written and verbal communication with high emotional intelligence.
- Absolute discretion in handling sensitive and confidential information.
- Proficiency in Google Workspace and Microsoft Office; experience with RingCentral a plus.
- Experience with ADP TotalSource, CRM platforms, or Buildium a plus.
